Last-Minute River Cruise Checklist
Everything to check, in order, when your river cruise sails soon.
Get Help BookingBooking a river cruise that sails in a few weeks or months compresses months of planning into days. Work through this list in order and you’ll avoid the problems that catch most late bookers.
1. Before You Pick a Sailing
- Passport: check the expiry date and issue date for every traveler today.
- Travel window: your earliest departure and latest return, including travel days.
- Rivers: two or three you’d be happy with, not just one.
- Budget: the total you’re comfortable with, including flights and insurance.
- Mobility: any needs that affect cabin choice or excursions — river ships may have limited lifts and docking can involve walking across other ships.
2. Before You Pay
- Flights: check real availability and price to the embarkation city and home from the final port.
- Pre-cruise night: plan to arrive at least a day early.
- Fare terms: confirm the payment due now and the cancellation schedule.
- Inclusions: excursions, drinks, gratuities and transfers — they vary by line.
- Offer: if a promotion applies, get its name and terms in writing.
3. The Day You Book
- Buy travel insurance at the same time as the cruise.
- Book flights promptly once the cruise is confirmed.
- Reserve your pre-cruise hotel.
- Check entry requirements for every country on the itinerary, and the current status of the EU’s ETIAS authorization.
- Register for the line’s online check-in and forms as soon as they open.

4. In the Final Weeks
- Tell your bank and card provider you’ll be travelling; carry some euros for small purchases.
- Check mobile phone roaming options.
- Pack layers, comfortable walking shoes and a light rain jacket; cobblestones are common in river towns.
- Bring any medications in their original packaging, with enough for delays.
- Watch for messages from the line about water levels or itinerary changes.
- Save your advisor’s details for help while you’re away.
5. If Plans Change After You Book
Late bookings leave little room for error, so know your options in advance. If a flight is cancelled or delayed, contact the airline and your advisor straight away — river ships sail on a schedule, and most itineraries allow you to join at a later port only by prior arrangement. If you fall ill before departure, check your travel insurance first: trip-cancellation cover is what protects a fully paid fare. If the line changes the itinerary because of water levels or a lock closure, it will tell you what it is doing — often a ship swap or coach transfers — and what, if anything, it offers in return.
Things Late Bookers Often Forget
Plug adapters
Continental Europe uses Type C and F sockets; check what your ship provides before you pack chargers.
Copies of documents
A photo of your passport and insurance policy stored on your phone and with someone at home.
Dietary requests
Tell the line early — small ship galleys plan their provisions ahead.
Excursion choices
Some lines open excursion selection online before sailing; popular options can fill.
